Personal Assistant to CEO

Overview:

We are seeking a highly professional, discreet, and proactive Personal Assistant to provide comprehensive executive support to the CEO. The ideal candidate will possess strong organizational, communication, and coordination skills, with the ability to manage confidential matters and operate effectively in a fast-paced environment.

This role requires a high level of maturity, integrity, and sound judgment to support the CEO in both strategic and operational matters, ensuring smooth day-to-day executive functions and alignment with company priorities.

Responsibilities:

To support the CEO in achieving company goals by performing the following effectively and efficiently:

  • To manage and coordinate the CEO’s schedule, priorities, and commitments, which include: 
    • calendar management, appointment scheduling, and meeting coordination;
    • travel arrangements, itineraries, and logistics planning;
    • preparation of meeting agendas, reports, presentations, and briefing materials;
    • screening calls, emails, correspondences and meeting requests with appropriate follow-up actions;
  • To act as a liaison between the CEO and internal/external stakeholders, including Board members, senior management, clients, consultants, government authorities, and business partners.
  • To ensure effective internal & external communication on behalf of the CEO, maintaining professionalism and confidentiality at all times.
  • To prepare, review, and manage documents, reports, presentations, and confidential correspondence.
  • To coordinate management meetings, Board meetings, and executive discussions, including minutes taking and tracking of action items.
  • To monitor and follow up on key initiatives and assignments delegated by the CEO to ensure timely execution.
  • To assist in research, analysis, and preparation of materials for strategic planning, business development, and corporate exercises.
  • To manage sensitive and confidential matters with discretion and integrity.
  • To support special projects, corporate events, and executive-level initiatives as required.
  • To undertake other tasks assigned by the CEO or Company Management as required.

Requirements:

  • Candidate must possess at least a Bachelor’s Degree in Business Administration, Management, Corporate Administration, or equivalent.
  • At least 5–8 years of working experience in a similar capacity supporting C-level executives or senior management.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks under pressure.
  • High level of integrity, discretion, and professionalism in handling sensitive or confidential information.
  • Excellent written and verbal communication skills.
  • Required language(s): English, Bahasa Malaysia and Mandarin.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and presentation preparation.
  • Strong interpersonal skills with the ability to engage stakeholders at all levels.
  • Able to work independently with minimal supervision and demonstrate strong problem-solving ability and good sense of anticipation.
  • Willing to travel as required.
  • A candidate with fewer qualifications/experience may be considered for a less senior position.
